Reports to : Executive Manager
PURPOSE OF THE JOB
The Head of Operations will oversee the social enterprise's daily operations, ensuring efficient processes, sustainable growth, and achieving social and business objectives. This role involves managing internal operations, coordinating between departments, improving operational systems, and ensuring the enterprise meets its financial and social goals. The Operations Manager will also optimize resources, support the team, and ensure alignment with the organization's mission.

Strategic Planning and Development
- Develop and implement operational strategies to achieve organizational goals and objectives
- Identify and prioritize operational initiatives to drive business growth and improvement
- Collaborate with senior leadership to develop and maintain the organization's overall strategy
Operations Management
- Oversee the day-to-day operations of the organization, including management of resources, processes, and systems
- Ensure the effective allocation of resources, including budgeting, forecasting, and cost control
- Develop and implement process improvements to increase efficiency, productivity, and quality
- Create a roadmap for tools and technology needed to ensure improvement in processes
Sustainability
- Implement sustainable and eco-friendly procurement practices and operations.
Risk Management and Compliance
- Identify and assess operational risks and develop mitigation strategies to minimize their impact
- Ensure compliance with regulatory requirements and industry standards
- Develop and implement business continuity plans to ensure continuity of operations in the event of disruptions
- Identify and mitigate operational risks by implementing best practices, policies, and procedures to reduce exposure to operational disruptions or liabilities.
- Stay informed about industry trends, regulatory changes, and social enterprise best practices.
Data Analysis and Reporting
- Analyze operational data (using tools such as PowerBI or Tableau) to identify inefficiencies and leverage automation tools to improve operational efficiency.
- Provide regular reporting to stakeholders on operational performance, including progress toward goals and objectives
- Make informed decisions based on data analysis and strategic priorities
Stakeholder and Relationship Management
- Develop and maintain relationships with key stakeholders, including customers, suppliers, and vendors
- Respond to customer or stakeholder feedback related to product or service quality and work with relevant teams to address concerns
Employee and Culture Management
- Foster a positive work environment that promotes collaboration, innovation, and continuous improvement and reflects the mission of the social enterprise
- Manage and supervise the operations team, including staff development, performance reviews, and ensuring adequate staffing levels
- Creating a workplace culture conducive for leadership development, workplace diversity, and employee well-being.
Financial Management
- Work with the finance team to ensure that operational expenses are within budget and operational goals are aligned with financial targets
- Monitor financial performance, identifying opportunities for cost savings, revenue generation, and sustainable growth
Quality Assurance
- Ensurethat products or services provided by the social enterprise meet established quality standards
Cross-functional Collaboration
- Coordinate and lead cross-departmental projects, ensuring alignment with strategic goals, and foster strategic partnerships to drive organizational growth and innovation
Other Duties as Assigned:
- Assist with strategic planning for the growth and development of the social enterprise, identifying new opportunities and expansion strategies.
- Take on additional responsibilities as necessary to ensure the success and sustainability of the enterprise
- Perform any other duties related to all operations function as may be assigned from time to time

- Operational Uptime: 99% or Higher across all locations.
- Budget variance: Ensure less than 5% budget variance
- Business Continuity Plan Effectiveness: 100% of critical operations restored within 24 hours of disruption
- Reporting timeliness: 100% of reports delivered on time
- Employee Engagement Score: 80% employee engagement
- Staff turnover rate: Less than 10% staff turnover rate
- Budget adherence rate: 95% adherence to budget
- Product Quality Score: 95% quality score
- Compliance rate: 100% compliance with local, regional and international regulations
