LOOKING TO HIRE TWO (FEMALE) SECRETARIES FOR A LAW FIRM, ONE IN KINSHASA AND THE OTHER IN LUBumbashi. The two secretaries to be hired will be essential links in the firm's internal organization, responsible for managing administration, communication, and some basic legal tasks. They will allow the lawyers to focus on legal matters while ensuring that administrative aspects are properly handled.

Key Deliverables

* Customer reception and communications management:

    • Welcome clients and visitors to the firm.
    • Answer phone calls, take messages and forward them faithfully to the relevant lawyer.

* Appointment and calendar management:

    • Schedule appointments and consultations for lawyers.
    • Organize meetings with clients and/or external stakeholders.
    • Manage business travel for lawyers and other members of the firm (transportation reservations, hotels, etc.).

* Document management, archiving and monitoring of procedures:

    • Manage IN and OUT mail.
    • Organize the physical and digital archiving of files and other legal documents.
    • Prepare and update the hearing schedule based on ongoing procedures.
    • Monitor important deadlines and deadlines for current cases (filings, hearings, etc.).

* Confidentiality and ethics:

    • Ensure the confidentiality of the information processed, in accordance with the rules of ethics of the legal profession.
    • Respect the confidentiality of exchanges with clients and the management of sensitive files.

Essential Qualities

Essential Qualities
  • Gender: Female
  • Age: 25 to 35 years old
  • Qualification: Diploma in Secretarial, Administrative, Management or other related fields
  • Level: Bac +3 (at least)

Professional skills

  • Be able to work UNDER PRESSURE;
  • Demonstrate PERFECT mastery of IT tools and office software (Word, Excel; PowerPoint and electronic messaging);
  • Have mastery of digital and numerical tools;
  • Have a PERFECT knowledge of French (spoken and written) and a knowledge of English (optional);
  • Have a high sense of organization.
